Bookkeeping services in Calgary, where the sales tax is the easy part

Alberta has no provincial sales tax, so the part that trips up businesses elsewhere barely exists here. Calgary books break somewhere else entirely: at the line between you and your corporation.

In short

AI Bookkeeping is an online bookkeeping service for Calgary small businesses. Alberta is the only province with no provincial sales tax, so a purchase carries the 5% federal GST, the 2026 rate, and nothing else. The real difficulty for an incorporated owner-operator is the boundary between personal and corporate money. Plans start at $99 CAD a month.

Alberta sales tax

The simplest sales-tax position in Canada, and that is the whole section

Alberta charges no provincial sales tax — no PST, no QST, no HST. A business purchase in Calgary carries the federal GST at 5% as at 2026 and nothing on top of it. One tax, one registration, one authority.

There is no provincial layer to mis-split, no second registration to keep track of, and no question about which portion is recoverable. Where you are registered and the purchase qualifies, the GST is generally claimable as an input tax credit. The rate is current as at 2026 and rates change: confirm it against the Canada Revenue Agency, GST/HST rate table. If you also sell into British Columbia, Saskatchewan or Manitoba, a provincial tax can still apply on those sales — bookkeeping services across Canada sets out how each province differs.

Where Calgary books actually break

You are not your corporation, and your books know the difference

Calgary runs on incorporated consultants, contractors and two-person firms, and incorporation is where bookkeeping stops being obvious. The moment you incorporate, every purchase carries a second question beyond what it was for: whose money paid for it.

Pay a business expense with a personal card and it is not simply an expense — it is an amount the company now owes you. These are the entries that go wrong most often in owner-operated books, and they are the ones an accountant has to untangle later, at an hourly rate, months after anybody remembers the detail.

The company owes you money

A business expense paid personally is recorded both as the expense and as an amount owing to you, mapped to the right owner or shareholder account rather than dropped into a mystery line.

Settlements are not expenses

Paying down a credit card is not a cost. Recorded as an expense it double-counts everything on that statement. Each card is identified and mapped to the correct account.

Draws have a home

Money leaving the company for you is recorded against the right owner account rather than landing in expenses, so your profit figure means something when you look at it.

General information about how the platform records transactions, not tax or legal advice. How amounts are ultimately treated for tax purposes is a matter for your accountant.

How it works

AI speed, with human judgment where it matters

No AI-proposed entry reaches your books without passing deterministic accounting rules first, and anything that cannot be settled confidently goes to a person rather than into your ledger on a guess.

1

Send documents

Receipts, supplier invoices and client invoices, from the web app or the Telegram bot.

2

AI prepares the entry

Extraction, accounting treatment, and the GST separated from the expense.

3

Rules validate it

Deterministic checks, not a model. Anything that fails does not post.

4

Human review if needed

A trained reviewer on our staff opens the source document and decides the treatment.

This is the Bookkeeping Service, the full-service plan where we maintain the books. The reviewer queue is part of it.

Who it is for in Calgary

Businesses whose billable hour is worth more than their bookkeeping hour

Four shapes of Calgary business recur, and all four are incorporated with spending spread across more than one card.

Independent consultants

One-person corporations billing a handful of clients, with expenses spread across personal and business cards.

Engineering and energy services

Project-based firms with subcontractors and supplier invoices arriving faster than anyone can file them.

Professional corporations

Doctors, lawyers and advisors whose books exist mainly to survive the year-end conversation.

Trades and field services

Receipts accumulated in the truck, photographed and processed the day they happen.

What it costs

Pricing does not vary by province or by city. The plans differ only by volume — 150, 250 or 500 documents — and each includes the same workflow: AI processing, accounting-rule validation, human review when needed, reports, tax information and accountant access.

If you are deciding between this and employing a bookkeeper, the outsourced bookkeeping comparison sets it against published wage and employer-contribution figures, each dated and linked to its source.

FAQ

Questions from Alberta owners

Alberta has no PST. Does that make bookkeeping easy?

It makes one part of it easy. There is no provincial sales tax to split, track or file, which removes the single most common error in BC books. What remains is the corporate side: owner contributions, draws, card settlements and the boundary between personal and company money. That is where Alberta books actually go wrong.

I paid for something with my personal card. What happens to it?

It is recorded twice over, correctly: as the business expense, and as an amount the company owes you, against the right owner or shareholder account. Left as a bare expense it understates what the company owes you and quietly misstates your equity.

Do I still need to register for GST?

That depends on your revenue and what you sell, and it is a question for your accountant or the CRA rather than for us. What we do is record transactions according to your registration status rather than assuming one, so the treatment is right either way and changes when your status does.

What if I sell to customers in BC or Saskatchewan?

A provincial tax can apply on those sales even though your own province charges none, and the rules turn on where the supply takes place. The Canada-wide page sets out how each province differs; confirm your own obligations with your accountant.

Can my accountant get access?

Yes. Invite them by email and they get their own workspace with access to your records and reports. The point of keeping the books current all year is that their work starts from finished records instead of a folder of receipts.

Do you need my bank login?

No. Bank and credit-card connections are part of the Bookkeeping Service and run through Plaid, so we never see your banking credentials. Bank statement files are not a supported upload — the platform works from receipts, invoices and connected transactions.
