In short

AI Bookkeeping is an online bookkeeping service for Toronto small businesses. Ontario charges a single combined HST rather than two separate sales taxes, so there is one registration and one return, and the whole rate can be recoverable where you are registered and the purchase qualifies. Plans start at $99 CAD a month.

Ontario sales tax

Ontario's HST is one line, which is exactly what makes it easy to leave money behind

Ontario is a harmonised province. Federal and provincial sales tax arrive as a single combined HST administered by the Canada Revenue Agency, at 13% as at 2026. There is no second provincial return and no separate provincial registration, which is what makes it simpler than British Columbia and, in one specific way, easier to get wrong.

Because the tax arrives as one number, it is tempting to leave it inside the expense. Where you are registered and the purchase qualifies, the entire 13% charged in 2026 is generally claimable as an input tax credit rather than a federal slice of it, so a receipt filed at its gross amount quietly overstates the expense and gives up the credit. The rate is current as at 2026 and rates do change: confirm it against the Canada Revenue Agency, GST/HST rate table.

One registration, one return

Ontario businesses register once for GST/HST with the CRA. There is no separate provincial sales-tax registration the way there is in British Columbia, Quebec, Saskatchewan or Manitoba.

The full rate can be recoverable

Where you are registered and the purchase qualifies, the entire 13% charged in 2026 is generally claimable as an input tax credit, not just a federal portion of it.

Registration status changes everything

An unregistered business claims no credits at all. Transactions are recorded according to your registration status rather than on an assumption about it.

How it works

AI speed, with human judgment where it matters

No AI-proposed entry reaches your books without passing deterministic accounting rules first, and anything that cannot be settled confidently goes to a person rather than into your ledger on a guess.

1

Send documents

Receipts, supplier invoices and client invoices, from the web app or the Telegram bot.

2

AI prepares the entry

Extraction, accounting treatment, and the HST separated from the expense.

3

Rules validate it

Deterministic checks, not a model. Anything that fails does not post.

4

Human review if needed

A trained reviewer on our staff opens the source document and decides the treatment.

This is the Bookkeeping Service, the full-service plan where we maintain the books. The reviewer queue is part of it.

Who it is for in the GTA

Owner-operated businesses across a very wide city

Toronto's service economy runs on incorporated one-to-ten-person businesses billing clients, paying suppliers and expensing everything in between. Four shapes of that recur.

Agencies and studios

Client invoicing on one side, subcontractors and software on the other, reconciled without your evenings.

Professional corporations

Consultants, designers and IT firms whose books drift between year-ends.

Trades across the GTA

Job-site receipts photographed from the truck, categorised before you are home.

Restaurants and retail

High document volumes, thin margins, and tax collected that should never look like revenue.

What it costs

Bookkeeping services in Toronto start at $99 CAD a month

Pricing does not vary by province or by city. The plans differ only by volume — 150, 250 or 500 documents — and every one of them includes the same workflow: AI processing, accounting-rule validation, human review when needed, reports, tax information and accountant access.

FAQ

Questions from Ontario owners

Do you file my HST return?

No. We maintain the bookkeeping records and produce the reports and tax information behind the filing; we do not file returns and do not give tax advice. Tax collected on your sales is tracked against your credits for the filing period so the numbers are ready when the return is due.

Is Ontario simpler than British Columbia for bookkeeping?

Structurally, yes. One combined HST means one registration and one return, where a BC business handles a federal tax and a provincial tax with separate rules about what comes back. The trade-off is that Ontario's single number hides the credit, so the common Ontario error is leaving recoverable HST inside the expense rather than mis-splitting two taxes.

I am not registered for HST. Does this still work?

Yes, and the treatment is different, which is the point. An unregistered business claims no input tax credits, so the tax genuinely is part of the expense. Transactions are recorded according to your registration status rather than on an assumption, and the treatment changes when your status does.

Can my accountant get access?

Yes. Invite them by email and they get their own workspace with access to your records and reports. We keep the books current through the year so their work starts from finished records instead of a folder of receipts.

What happens to an entry the AI is not sure about?

It goes to a review queue worked by a trained reviewer on our staff, who opens the source document and posts the corrected treatment through the same accounting engine every other entry passes through. It does not post on a guess and it does not sit in your ledger unresolved.

Do you need my bank login?

No. Bank and credit-card connections are part of the Bookkeeping Service and run through Plaid, so we never see your banking credentials. Bank statement files are not a supported upload — the platform works from receipts, invoices and connected transactions.
